How to Specify Industrial Tape for a Quote

Describe the job, contact surfaces and acceptance requirements in your tape quotation request. Use this specification checklist to compare proposals on the same basis and plan a controlled sample trial before ordering.

Start with the job and the required result

State whether the tape seals cartons, masks a finish or joins components. Explain where it sits, how long it stays and whether removal is required. Attach a marked drawing or photograph showing the contact area, edges and load direction where relevant.

Separate mandatory requirements from preferences. An existing product reference can help explain the starting point, but identify what must improve and which changes require approval. Give the inquiry a revision number so every supplier prices the same request.

Name both substrates and their actual finishes

For a bonded joint, identify both materials and the surface on each side. Powder-coated metal presents a coating to the adhesive, not bare metal. Record paint or coating details, texture and any known contamination. For carton sealing, describe the actual board surface; for masking, identify the finish to be protected.

Send representative substrate samples when possible. State the cleaning or pretreatment process already permitted by your operation. Do not assume that a new cleaner, primer or abrasion step is acceptable without reviewing compatibility and process requirements.

Separate application conditions from service exposure

Application conditions describe how the bond is made: tape and surface temperature, moisture, pressure method and time before handling or loading. Service conditions describe later exposure: heat, cold, sunlight, water, chemicals, movement and the required duration of use.

Provide actual process ranges and exposure durations where known. A service temperature rating does not establish the conditions for applying that tape. For removable masking, include the planned removal time and acceptable surface condition afterward. Ask for guidance for the proposed grade, with assumptions clearly identified.

Define dimensions, tolerances and dispensing format

Specify width, length per roll and thickness with units. Clarify whether thickness includes adhesive, backing and any release liner. State permissible variation and the agreed measurement method for critical dimensions; a nominal size alone leaves the acceptance boundary unclear.

Identify hand application or the dispenser model. For machine rolls, provide core internal diameter, maximum roll outside diameter, winding direction and liner handling needs. Attach the equipment specification when available. Request confirmation of compatible format instead of assuming any longer roll will fit the machine.

Build a quotation that suppliers can answer consistently

Use the table to assemble your request for quotation (RFQ). Mark unknowns for discussion. Ask each supplier to identify deviations and exclusions against the same requirements before comparing price.

Agree acceptance before ordering samples

Define receipt inspection separately from application validation. Inspection checks supplied goods against agreed characteristics such as dimensions, labels and packaging. Validation evaluates suitability in the intended process and use. A roll passing inspection has not therefore been validated for the application.

Agree a controlled trial with the responsible technical team. Use representative materials and record preparation, application and exposure conditions. Set observation times and measurable acceptance limits before testing. Safety-critical applications require the responsible specialist's assessment and approval; this checklist does not authorize use.

  • Identify each sample and substrate batch.
  • Keep comparison conditions consistent and record deviations.
  • Check relevant failures, including lifting, slipping, residue or finish damage.
  • Record results, unresolved questions and the person approving the next step.

Avoid common RFQ mistakes

Check the inquiry for gaps that make apparently similar offers difficult to compare. Resolve these points before treating a quotation as an order specification.

  • Requesting strong adhesion without defining the task or removal needs.
  • Comparing roll prices when lengths, packing quantities or delivery scope differ.
  • Treating a reference brand's data as proof for a proposed alternative.
  • Leaving tolerances, required documents or substitution approval until after ordering.

Frequently asked questions

Can I request a quote without knowing the adhesive chemistry?

Yes. Describe the surfaces, process and required result. Ask the supplier to identify the proposed construction, explain its selection and state what remains to be confirmed through a trial.

Is a sample or photograph enough to specify the tape?

It is a useful reference, but it does not define dimensions, tolerances, exposure or acceptance. Include written requirements and identify the sample so it can be traced to the inquiry revision.

What delivery information belongs in the RFQ?

Give quantities by size, packing and labeling needs, destination country, named delivery point and requested date. Ask the supplier to state the delivery basis, exclusions and proposed schedule for confirmation.
